Conducting move-in and move-out inspections
Protect yourself from deposit disputes with thorough inspection documentation. Here is how to do it right.
Why Inspections Matter
The most common landlord-tenant dispute is over the security deposit. Without documentation, it's your word against theirs. A thorough inspection creates an objective record.
The Move-In Inspection
Do this before or on the day the tenant takes possession. Ideally, walk through together.
What to Document
Go through every room and note:
- Walls: Marks, holes, scuffs.
- Floors: Stains, scratches, wear.
- Windows: Cracks, screens.
- Appliances: Condition and functionality.
- Plumbing: Faucets, drains, toilets.
Photos and Videos
Take wide shots of each room plus close-ups of any existing issues. Timestamps are automatic.
Using RentMouse

The Move-Out Inspection
Do this after belongings are removed but before keys are returned.
Comparing to Move-In

Normal Wear vs. Damage
- Normal: Faded paint, minor scuffs, small nail holes.

Returning the Deposit
Generate a deposit return letter from RentMouse with:
- Original deposit amount
- Itemized deductions with explanations
- Amount being returned
Send by the legal deadline (usually 14-30 days after move-out).
