Recording rent payments and reading the ledger

Record fee-free manual rent payments, verify tenant reports, and correct a mistake without erasing the history.

Rent → open an invoice → Payments. The ledger is the financial history behind that rent view.

One ledger, focused views

RentMouse records financial events in one ledger and links each entry to the property, unit, lease, tenant, invoice and rent period where those details apply. The Rent view is the focused view for rent invoices and payments. Tenant charges, property expenses, deposits and other income can use the same structure as those features are added; they are not created by recording a rent payment.

Keep security deposits separate from ordinary rent payments. Deposit handling, including where funds are held and when they are returned or claimed, has its own legal and accounting requirements. A tenant repair charge also needs its own lawful basis and supporting record; it is not created by reversing or editing a rent payment.

Record a manual payment

  • Open the correct invoice in Rent, then enter the amount received, received date and method: cash, cheque or direct Interac e-Transfer.
  • Add a reference or confirmation number when you have one. A note is optional and can record useful context such as where a cheque was deposited.
  • Choose “Mark as verified now” only after you have confirmed the money arrived. Otherwise the record stays pending and does not reduce the balance yet.

Why these methods have no RentMouse fee

RentMouse does not move cash, cheques or a direct e-Transfer between a tenant and landlord. It only records what the landlord received, so it adds no RentMouse transaction fee. A tenant's bank may have its own account fee or transfer limit; that is separate from RentMouse and is not set or collected by RentMouse.

Partial payments, overpayments and tenant reports

You can record more than one payment against an invoice. Verified partial payments reduce the balance and leave the invoice partially paid. A verified amount above the invoice total is retained in the payment history; review it before applying or accounting for any credit under your own process.

A tenant can report a payment and attach proof in the tenant portal. That report stays pending until a landlord or team member with payment-verification permission confirms it. When it is verified or sent back to pending, RentMouse uses its normal notification convention to tell the reporting tenant when an email address is available.

Receipts and corrections

Attach an image or PDF proof to a payment when useful. The payment detail keeps the amount, method, date, reference, proof and verification history together. If you made a mistake, use Reverse. RentMouse creates a compensating ledger entry and restores the invoice balance instead of silently removing the financial history.

Online bank or PAD payments

Processed bank/PAD payments are not enabled yet. RentMouse does not currently process a tenant's bank transfer or card payment, and this manual-payment release is not a PAD authorization or agreement.

If an optional processed method is introduced later, the planned model is for Stripe to bill processing costs directly to the connected landlord account. Exact landlord pricing and tax treatment will be shown before setup. RentMouse will not present a tenant-paid processing fee, and a fee-free direct route will remain available where the landlord permits it. The payment setup, provider responsibilities and agreement wording will be reviewed before that feature is enabled. Do not add a new payment fee to an existing tenancy agreement without the parties' agreement and appropriate review.
